This describes how ClaimWorkbench handles shop data. Have counsel review it before you rely on it as a legal agreement. Last updated October 6, 2026.

Who it is for

ClaimWorkbench is a tool for independent HVAC shops. It is not a homeowner product. The shop is the customer.

What we store

  • Account email, shop name, brands, and distributors.
  • Install records: customer name, equipment brand, model, serial, dates, and an optional nameplate photo. First name and last initial is enough for the customer name.
  • Claim details, status, denial reasons, and recovered amounts.
  • Files you upload: JPEG, PNG, HEIC, or PDF, stored privately.
  • Anonymous warranty checks: brand, model, serial, install date, and the verdict. These are not tied to a shop account.
  • Billing identifiers from Stripe. Card numbers stay at Stripe.

Why

To assemble claim packages, remind the shop about aging claims, and show recovered amounts. Acquisition source is stored so we can see whether guides and the checker produce signups.

Who can see it

Shop members see their own shop. Manufacturer checklists and published guides are public. A testimonial is public only if the shop checks the permission box. We do not sell shop ledgers.

Deletion

The owner can delete the account in Settings. That cancels the Stripe subscription and deletes the shop, its claims, and its files. Published guides and manufacturer checklists stay, because they are not the shop's data. Withdrawing testimonial permission deletes that sentence.
